Optimal resource utilisation in service organisations
”Do you use your resources optimally?” This is a relevant question for all service organisations, and it does not only concern whether the employees run fast enough. Optimal resource utilisation is a matter of how competent you are at delivering the demanded service at the agreed time without using too many or too few resources.
- Do you have a plan for which employees are to do what and how much the coming day/week/month?
- Do all employees know the aim of their productivity?
- Do you have the overview and flexibility to move the right employees to the next task – also if it belongs under another department?
- Do you have a clear priority of tasks in peak situations or in periods with too few employees?
- Do you focus on the competence development that is required to solve future tasks?

What is optimal resource utilisation?
Optimal resource utilisation is neither too many nor too few employees. The consequence of being too few is employees who run either too fast or work too much to deliver the service, and/or the quality of the service is reduced. Production planning, capacity planning and employee involvement are important management tools in the creation of optimal resource utilisation.
Optimal resource utilisation benefits all parties

Goals and planning belong under management who set objectives based on, among other criteria, the employees’ estimate of how much they can produce. Figures, charts and plans must be placed on the wall where everyone can see them, and demand and capacity must balance.
